HOW DOES
IT WORK?
EVENT PLANNING & PREP
At Café Cómodo, we believe great events are built on intention. Every experience we provide is carefully planned to feel warm, personal, and memorable. From our first exchange to the last cup served, we focus on thoughtful details, genuine connections, and making every guest feel truly welcomed.
1. Send Us Your Event Details
Begin by completing our inquiry form and sharing whatever information you currently have. This allows us to craft a quote tailored to your specific event. Still figuring things out but know a coffee cart is part of the plan? That’s perfectly fine. You can email us at [email protected] or call (608) 658-8516, and our team will help guide you through the next steps.
2. Review Your Personalized Proposal
After we receive your inquiry, you’ll hear from us within one business day. We’ll send over a comprehensive proposal outlining your service details, menu options, enhancements, and pricing. This is your opportunity to ask questions, refine ideas, and make sure everything reflects your vision.
3. Confirm Your Booking
When you’re ready, simply approve the proposal, sign the agreement, and submit your deposit. Once completed, your event date is officially reserved.
4. Planning & Preparation
With your event secured, we handle all the behind-the-scenes coordination—from finalizing logistics to creating custom menus or branded elements—so everything is polished and ready to go.
5. Service Day Experience
On event day, our team arrives an hour early to set up, fine-tune equipment, and prepare for service. A minimum of two experienced baristas will be onsite, efficiently serving up to 60 guests per hour. Known for their warmth, professionalism, and skill, our baristas are dedicated to delivering exceptional drinks and hospitality.
6. Seamless Breakdown
After service wraps up, we take care of cleanup and pack-down in about 30 minutes. You can stay focused on enjoying your event—we’ll handle the rest.

EVENT FAQ
What areas do you serve?
We are fully licensed through the health department to operate at both private and public events anywhere within New York State.
What space and power do you need?
Our espresso cart setup requires an area of approximately 8’ x 5’ to comfortably accommodate the cart, equipment, and barista. Outdoor events must provide a covered space to shield equipment from the elements. We need access to one 20-amp 120v outlet and one 15-amp 120v outlet (standard outlets). Our extension cords reach up to 100 feet. If you’re uncertain about electrical access, your venue should be able to help confirm availability.
How long does setup and breakdown take?
We generally arrive about one hour prior to service to set up and calibrate equipment. Breakdown and cleanup take roughly 30 minutes after service concludes. You are billed only for service time—setup and teardown are always included.
Do you offer customization?
Our hand made Brown Sugar Cinnamon and Vanilla syrups, Caramel, and Mocha are included at no additional cost, with other flavors available upon request. We’re happy to collaborate on a custom drink menu to match your event (additional fees may apply). Corporate clients can also opt for branded cups or cart signage featuring their logo.
What does your pricing include?
Our rates are all-inclusive, covering planning, equipment, ingredients, staffing, permits, setup, and cleanup. Travel within a 50-mile roundtrip radius of Prattsburgh, NY is included; additional mileage is billed at $0.90 per mile.
Do you offer non-dairy milk or decaf?
Yes—oat milk and almond milk are available, along with decaffeinated espresso.
Are you licensed and insured?
Absolutely. We carry liability insurance and meet all New York State licensing requirements. Safety and compliance are always a priority.
What drinks do you serve?
Our menu includes hot and iced espresso drinks, drip coffee, chai, matcha, and a selection of teas.
How do I reserve a date?
Simply complete the form under the GET A QUOTE page. We’ll follow up within 48 hours to review your event details and provide a custom quote.
